Accounting

Completed work set against signed consent forms, the payout per artist and the file for your accountant.

Version 1.3 · updated 2 November 2026
What does the Accounting section do?
It checks that every completed work has a signed consent form, and what each artist is owed.

It has three parts: Reconciliation, Payout per artist and Export. It is part of the Studio plan, in Settings → Accounting.

You turn it on with the “Accounting on” checkbox, which only the owner can change. While it is off, the app works exactly as before. When you turn it off, what is saved stays, but work done while it is off is not recorded.

It is not bookkeeping. It doesn't issue invoices, calculate VAT or file tax returns. It gives you clean data, and your accountant does the rest.

What is the reconciliation?
Three lists: work matched with a consent form, work without one, and consent forms without work.

Matched — work completed in the calendar and a signed consent form.
No declaration — work completed for a service that requires a consent form, but the consent form is missing. That is work done without paperwork, exactly what matters at an inspection.
Declarations without a completed work — the client signed, but the work doesn't show as Completed in the calendar, so it isn't in the earnings either.

Work with no service selected is counted separately, because there is no way to know whether it required a consent form.

How is a consent form linked to an appointment?
Start the consent form from the appointment window, with the “Declaration” button. Then the link is certain.

The button opens Consent forms with the type and artist already chosen, and the signed consent form remembers the appointment it came from.

Consent forms signed before this feature don't know which appointment they came from. For those, the app matches them by day, artist and phone number (or name, if there is no phone) and marks them “matched automatically”, so you know the link isn't certain.

How is the artist's share calculated?
From the service (fixed amount or percentage); if the service has none, from the artist's percentage.

On each service you set, for each artist, a fixed amount or a percentage. If the appointment has no service with a rate for that artist, the artist's default percentage applies.

The commission is fixed the moment you mark the work Completed. If you change the percentages tomorrow, earnings already made are not rewritten. If you correct the price or the artist after completion, the figure is recalculated.

Work completed before this feature is calculated with today's rates.

From what date does Accounting count?
From the start date, which you choose. Anything earlier isn't counted, but isn't deleted either.

When you turn Accounting on, the start date becomes today. You can move it at any time, from the same section.

Work, consent forms and payments to artists from before that date stay in the app, untouched. They simply no longer go into the reconciliation, the payout or the export.

How does work done without an appointment get into Accounting?
Through the consent form: you choose the service and the price before the client signs.

With Accounting on, after you choose the consent form type and the artist, the app asks for the service and the price. For two piercings in the same visit, tap the service twice.

The moment the client signs, the work goes into Accounting on its own, with the artist's commission fixed. It doesn't appear in the calendar.

For piercings, the placement is filled in from the services you chose. The client sees it on the consent form and signs it, but can't change it.

A consent form started from an appointment doesn't ask for the service: the price is already on the appointment and would be counted twice.

If the service isn't in the list, or the list doesn't load, tap “Continue without a service”. The client signs as usual, and the consent form shows up in the reconciliation as a consent form without work.

Can I give a discount on, or cancel, work from a consent form?
Yes. Anyone on the team can, from the “Work from declarations” list. The signed form stays untouched.

Discount: choose Free, Percent or Amount and, if you like, a reason. You see the final price, the artist's share and the studio's share straight away.

The artist's share is calculated from the discounted price, by the same rule as at signing. With a percentage, the artist gets the same percentage of the discounted amount. With a fixed amount, it drops in the same proportion as the price: work at 160 discounted to 80 takes the fixed share from 50 to 25. Rates changed in the meantime don't apply.

Cancel: the work stays in the list, marked “cancelled”, but its money is no longer counted.

Deleting a consent form also deletes its work from Accounting. A GDPR deletion keeps the amounts, but without the client's name and phone number.

What is the “To mark” alert?
A red counter with appointments that ended over 2 hours ago and are still unmarked.

If an appointment ended 2 hours ago and isn't yet marked Completed, No-show or Cancelled, it shows up in the “To mark” counter in the sidebar and is outlined in red in the calendar.

The counter looks at the last 30 days, but never before the start date. It only appears while Accounting is on.

What does the payout show?
For each artist: what they earned, what they have been paid and what they are still owed.

“Earned” and “Paid” are for the selected period. “Still to pay” runs from the start until today.

You record payments to artists yourself, with the amount, date and a note. A wrong payment is deleted and recorded again; it isn't quietly edited.

Only the studio owner sees the payout and the payments.

What does the accountant get?
Two files that open directly in Excel: the work and the payouts.

Work — every completed work in the period: date, client, service, artist, price, deposit, artist's share, studio's share, whether it has a consent form, and the currency.
Payouts — per artist, plus the list of payments in the period.

Amounts use the decimal separator of your language, and accented characters show correctly. You can also import the file into invoicing software by matching the columns.
